Schedule a publication for your public page

Give a publication a date in the future, and it appears on your public page on that day. The date also decides its place on the page – for one publication or many at once.

Updated

To schedule a publication, give it a date in the future next to its Public page switch in the Workspace. Until that day, it is not on your public page and its tile shows Scheduled; on that day it appears there by itself. Readers see the same date on its card, and your public page is sorted by it.

Schedule a publication

  1. Open the Workspace and find the project.
  2. Switch on Public page on its tile. The publication gets the access mode Public page, and a date field appears next to the switch.
  3. Choose the day in the date field. It is saved at once, and the status below Public page changes to Scheduled.

The switch lists the publication at once, with the date shown in the field – normally today. Choose the later date right after switching on, so it does not stay on your page in the meantime.

You choose a day, not a time. The tile shows one of three statuses:

  • Public – on your public page; its date is today or earlier.
  • Scheduled – it appears on your public page on its date.
  • Not listed – not on your public page (for example Link only or Secure).

In the Access & secure sharing dialog, a scheduled publication says “On your public page from date.” Saving the dialog keeps the date. A publication you set to Public page there, or a static PDF uploaded with Add uploaded PDFs to the public page, starts with today’s date – change it on the tile.

What applies until the date

  • Your public page and its collections do not show the publication. A collection that holds only scheduled publications stays hidden.
  • Its link already works, and so do embed codes: anyone who has the link can open the publication. Share the link only when it may be read.
  • Search engines are asked not to index it, and it is not in the sitemap. From its date, your choice under Allow search engines to index this publication applies – see Get your PDF found in search engines.
  • On the day itself, you do nothing: the publication appears, and its tile shows Public.

Set the date for many publications at once

  1. Click Select next to the project filters and select the projects – or click Select all in the bar at the bottom.
  2. In the bar, click Publication date.
  3. Choose the date and click Set date.

Only publications with the access mode Public page get the date; the others are skipped with “Skipped: not on your public page.” The dialog lists each result – “Listed from this date.” for a future date – and the Workspace loads again when you close it. To put Link only publications on the page first, use Access → Public page in the same bar; they are listed from today until you set the later date.

The order of your public page

Your public page shows the newest date first, 20 publications per page, and each card says “Published” with its date. So the date decides where a publication stands:

  • An earlier date places a publication further down – for example an older issue under its original date. It appears at once.
  • Inside a collection, publications keep this order, and the collection’s card shows its newest covers.
  • When you set a publication to Link only or Secure, its date is removed. If you list it again, check the date next to the switch.

In a team, the account owner, admins and managers can set the date; editors and analysts cannot (Team members).

Dates and scheduling belong to the public page, included in the Publisher, Publisher Plus, Premium and Tailored plans – see Pricing. While the public page of a profile is switched off under Public Overview Design, its tiles show no switch and no date, and the bar has no Publication date – see The public page.

Questions

Can readers open a scheduled publication before its date?

Yes, if they have its link or see it embedded on a website. The date only decides when the publication appears on your public page. Until then, it is not listed there, and search engines are asked not to index it.

Can I schedule a publication for a certain time of day?

No. You choose a day, and the publication appears on your public page on that day.

Why is “Publication date” missing from the bar?

It appears only when your plan includes the public page and the public page of this profile is switched on under Public Overview Design.
